These terms apply to every journey booked with Tamshing Travel (“we”, “us”), a licensed tour operator in Bhutan (Licence No. 50002640). Please read them before you confirm your booking. Confirming a booking means you accept these terms on behalf of everyone travelling with you.
1. Quotes and prices
- Every quote is free and comes with no obligation to book.
- Quotes are valid for 30 days and are confirmed in US dollars.
- Unless your quote says otherwise, prices include your visa fee and processing, the Sustainable Development Fee (SDF), accommodation, all meals, a licensed guide, a private vehicle and driver, entrance fees and airport transfers.
- Prices do not include international flights, travel insurance, drinks, tips, laundry, phone calls or other personal expenses.
- The SDF and visa fee are set by the Royal Government of Bhutan. If the government changes them before you travel, your price will change to match.
2. Booking and payment
We ask for payment in two simple stages:
| Stage | Amount | What it covers |
|---|---|---|
| To confirm your trip | 50% deposit | Lets us secure your flights and hotel rooms straight away, as the best rooms and seats fill quickly. |
| Before you arrive | Remaining balance, no later than 60 days before arrival | Covers the Sustainable Development Fee and visa fee. Once it is received, we apply for your visa. |
- You are welcome to pay the balance at any time after your deposit. If you book within 60 days of arrival, the full amount is due when you confirm.
- Bank transfer: our preferred method. We will send you our bank details and step-by-step instructions with your invoice. Transfer charges are paid by the sender.
- Credit or debit card: on request, we can send you a secure online payment link. Card payments carry a 5% bank and processing fee.
- Airline tickets are bought in US dollars, so all our prices and payments are in US dollars.
3. If you cancel
We understand that plans can change. Please let us know by email as soon as possible; the charge depends on how many days before your arrival we receive your message:
| Notice before arrival | Cancellation charge |
|---|---|
| More than 60 days | A flat fee of US $250 per person, plus bank charges |
| 10 to 60 days | 45% of the tour price |
| Less than 10 days, or no-show | 100% of the tour price |
- Refunds of the SDF and visa fee follow the rules of the Royal Government of Bhutan.
- Flight tickets follow their own rules, explained below.
- No refunds are given for parts of a tour that you choose not to use, or if you leave a tour early.
- Rather than cancel, you may prefer to move your trip to new dates. Just ask, and we will do our best to help.
Flights booked through us
Flights into Bhutan are operated by Druk Air and Bhutan Airlines, and each ticket follows its airline's fare rules. As a general guide:
- The closer to your travel date you cancel, the smaller the refund the airline allows, and tickets cancelled in the last few days before departure are usually non-refundable.
- Changing the date of a flight at short notice usually carries a rescheduling fee, typically around US $50 per flight within 72 hours of departure.
- We will send you the exact fare rules when we issue your tickets, and we will always help you find the best option if your plans change.
4. Changes to your booking
We are happy to change your itinerary where we can. Changes may affect the price, and any costs charged by hotels, airlines or other suppliers will be passed on to you.
5. If we need to make changes
Travel in the Himalayas can be affected by weather, landslides, road conditions, flight delays and government decisions. If we need to change part of your itinerary for reasons outside our control, we will offer the best alternative of a similar standard. We cannot refund or accept liability for costs caused by events outside our control, such as natural disasters, extreme weather, illness, strikes or flight cancellations.
In the unlikely event that we must cancel your tour for reasons within our control, you will receive a full refund of everything you have paid us.
6. Travel insurance
We strongly recommend comprehensive travel insurance covering medical treatment, emergency evacuation, cancellation and lost belongings. Please send us your policy details before you travel.
7. Passports, visas and health
- Your passport must be valid for at least six months after your arrival date.
- You are responsible for any visas needed for countries you travel through on your way to Bhutan, such as India, Nepal or Thailand.
- Please tell us about any medical conditions, mobility needs or dietary requirements so we can plan your trip safely. Some routes reach high altitudes, and we recommend checking with your doctor before you travel.
8. Respecting Bhutan
Please follow the advice of your guide and respect local laws, customs and religious sites. We may end a tour without refund if a traveller's behaviour puts others at risk or breaks the law.
9. Our responsibility
We carefully choose the hotels, guides, drivers and other partners we work with. While we do our best to make sure every service is of good quality, we are not liable for loss, injury or damage caused by the actions of independent suppliers, or by events outside our control.
10. Complaints
If something is not right during your trip, please tell your guide or contact us straight away so we can try to fix it. If you remain unhappy, write to us within 30 days of your return and we will respond as quickly as we can.
11. Law
These terms are governed by the laws of the Kingdom of Bhutan.
